How to manage a periodic inspection calendar without missing deadlines

Why calendar discipline?

When periodic inspections live in scattered spreadsheets, deadlines slip, reports go missing and nonconformities stay open. A central calendar keeps OHS and maintenance teams on the same view.

1) Lock the equipment inventory

A calendar is only as good as the inventory. Which equipment falls under which regulation/standard must be written down.

  • Electrical, pressure, lifting, fire, ventilation, work machinery, scaffolding
  • Capture location, serial no. and last inspection date
  • Assign owning unit and site contact

2) Set interval and reminder rules

Define the legal/standard interval and an “alert X days before” rule for each equipment group. One-off reminders are not enough—you need recurring tasks.

  • Plan backwards from the expiry / validity date
  • Balance capacity in peak periods (year-end)
  • Align inspection appointments with maintenance shutdowns

3) Coordinate authorized providers

  • Link closure evidence to the inspection date
